The most useful inquiry normally includes a drawing or reference sample, dimensions, material requirements, surface finish, expected quantity, application and destination country. If some information is not yet available, provide what you know and identify the details that still need to be confirmed.

1. Explain the Product Application

Begin by explaining where and how the component will be used. Application information helps the manufacturer understand the type of connection, surrounding materials and operating environment.

Useful application details include:

  • The finished product that will use the hardware
  • Whether the component connects fabric, webbing, leather, wood or another part
  • Indoor or outdoor use
  • How the component will be installed
  • Whether it needs to open, close, rotate, slide or remain fixed
  • Any appearance or color requirements

For example, a metal hook used with a pet leash may have different dimensional and finishing requirements from a connector used inside a table or cabinet.

2. Provide a Drawing, Sample or Reference Photograph

A technical drawing is the clearest reference for a custom component. It should show the product shape, dimensions and any important openings, bends, slots or connection points.

If a drawing is unavailable, you can provide:

  • Clear front, back and side photographs

3. Identify the Critical Dimensions

Do not provide only the overall length and width. Identify the dimensions that affect installation, fitting and function.

4. Confirm the Material Requirements

If you are unsure, explain the application and required performance so that suitable options can be evaluated. Avoid selecting a material based only on product color because similar finishes may be applied to different base materials.

5. Specify the Surface Finish and Color

State the required finish, color and appearance as clearly as possible. If exact color matching is important, provide a physical sample or recognized color reference.

Also explain whether the component will be used indoors, outdoors or in a humid environment. This information can affect the evaluation of the material and finish.

Do not rely only on photographs for color approval. Lighting, camera settings and screens can make the same finish appear different.

6. Describe Functional and Testing Requirements

Minimum order quantity varies according to product structure, finish, tooling and production requirements. It should be confirmed for the specific project.

8. Include Packaging and Labeling Requirements

If you need a particular packaging method, include it with the inquiry. Useful information may include:

  • Quantity per bag or box
  • Individual or bulk packaging
  • Barcode or label requirements
  • Product code printed on the package
  • Protection required for finished surfaces
  • Outer-carton marking requirements

Packaging requirements should be confirmed before the final quotation because they may affect packed weight, carton dimensions and handling cost.

9. Provide the Destination Country
